QUICK REFERENCE CHECKLIST
Annual Tasks with the Mentor Program
A. District Superintendent
_____ 1. Set date for an Expectation-Setting Interview with all new mentees in early Fall or as soon as possible. Coordinate the date with mentor, mentee, and PPRC Chair of the mentee’s church.
_____ 2. Conduct the Expectation-Setting Interview using the guidelines as outlined in Mentor’s Manuel under interviews.
_____ 3. Remind the mentor to prepare summary notes from the Expectation - Setting Interview and distribute same as instructed in the Mentor Manuel.
_____ 4. Sign the Mentor’s Annual Report indicating your knowledge of the information being submitted to the BOM Registrar and President by February 1.
_____ 5. In the second and continuing years, participate in the In-Church Interview as arranged and led by the Mentor. (See Mentor Manuel for details.)
_____ 6. Stay in communication with the Mentor Coordinator as questions or concerns arise.
_____ 7. In March, participate in the annual Board Interview Consultations.
B. Mentor
_____ 1. When asked to serve as mentor, give your final decision to the Mentor Coordinator by July 1 or, if during a conference year, as agreed upon between you and the Mentor Coordinator.
_____ 2. Soon after your assignment is confirmed, contact the mentee and set a date to meet informally as families, if possible, or one-to-one to become better acquainted.
_____ 3. Late summer or early fall meet with your mentee to begin building a covenant.
_____ 4. Finalize your covenant no later than at your October meeting.
_____ 5. Set
times, dates and places to meet with your mentee in the months of October,
December, February/March, and April. Arrange
one of these meetings each year so you will experience a Sunday worship service
with the mentee if possible. If not, arrange to have a service video taped.
Other experiences could also include a committee meeting, a social function of
the church, a wedding or funeral service.
____ 6. Attend the Expectation-Setting Interview as set by the district superintendent.
_____ 7. In the second year and beyond, set date for In-Church Interview with district superintendent, mentee and local church PPRC

_____ 8. Share with your mentee all BOM requirements that have to met before the Progressing Phase and the Culminating Phase interviews. (Check with Mentor Coordinator, Board Registrar and/or Division of Elders Chair for clarification.)
_____ 9. By the third one-to-one meeting, begin using the Ministry Reflection Report (MRR) model to reflect on ministry events experienced by the mentee.
_____ 10. Share date, time and place of Full Group Meetings
during the months of September, November, March, April/May and during
Annual Conference in June. (Dates for these meetings
will come from the Mentor Coordinator.
_____11. Begin preparing your annual report in December to be finalized and signed in January for submission to the Board Registrar by February 1st.
_____ 12. Encourage your mentee to begin preparing their annual report in December following the same time line as you for submission by Feb.1st.
_____ 13. Encourage your mentee to work toward BOM requirements such as CPE and a course in United Methodist Policy.
_____ 14. In the years when your mentee interviews with the Board, encourage an early start on their papers. If requested, it is permissible for you to read the papers and make suggestions. Remember, the February 1 deadline.
_____ 15. Be available and encourage your mentee to contact you as necessary.
_____ 16. Hold your mentee accountable. Remember your Covenant agreement.
Mentee
_____ 1. Receive assignment of mentor from Mentor Coordinator.
_____ 2. Await the first contact by your mentor in late June or early July.
_____ 3. Participate in setting meeting times, places, and agendas with your mentor.
_____ 4. Enter into your calendar all the dates, times and places for your one-to-one meetings and Full Group meetings.
_____ 5. Work with your mentor on your Covenant.
_____ 6. Participate and help coordinate with your PPRC the arrangements for your Expectation-Setting Interview in early fall of the first year.
_____ 7. In succeeding years, assist and coordinate in the same way for the In-Church Interviews.
_____ 8. Begin your annual report in December for submission by February 1 to the the Board Registrar and the Mentor Coordinator.
_____ 9.
Get familiar with the MRR resource tool and begin using it regularly.
_____ 10.In years when you interview with the Board in March, get started on your papers as early as possible. It is permissible to ask others to read your papers if you so desire. Again, the February 1 deadline is SERIOUS!
